Cancellation Policy and Terms and Conditions

We at Epic Tax strive to provide exceptional service to our clients. To ensure smooth operations and transparency, we have established the following comprehensive cancellation and rescheduling policy, including associated terms and conditions.

Booking Terms

1. Upfront Booking Fee

An upfront fee of $123.42 is required to secure your appointment with our team. This fee is payable at the time of booking and is set at a booking fee of $121.00 plus a non-refundable payment processing fee of $2.42. The booking fee is a security measure to reserve your spot and ensure our commitment to serving you promptly.

2. Fee Adjustment Based on Complexity

Please note that the upfront booking fee is not the final cost of our tax services. The actual cost of your tax preparation may vary based on the complexity of your tax situation. Additional charges may apply for services related to complex tax returns, specialized tax advice, or additional assistance beyond the standard services. These charges will be discussed and agreed upon during your appointment with our tax professionals.

Cancellation Policy

1. Notice of Cancellation or Rescheduling

Clients are required to provide a minimum of 24 hours' notice for any cancellations or rescheduling of appointments. 

2. Cancellation/Rescheduling Fee

In the event of a cancellation, a cancellation fee of $44.00 will be held. This is to compensate for the administration costs related to data entry and to processing a refund.

If a client fails to provide the minimum 24 hours' notice for cancellation or rescheduling, the booking fee will be held in total. This compensates for the time allocated to the appointment and the inability to offer the slot to another client.

Appointment Terms

1. Appointment Duration

All appointments have an expected duration of 45 minutes unless otherwise agreed between the parts. If the consultation requires more time, subsequent sessions may be scheduled to adequately address your needs. Subsequent sessions will be charged accordingly

2. Client Responsibilities

Clients are responsible for providing accurate and complete information relevant to the consultation. Failure to provide accurate information may impact the quality and accuracy of our services.

3. Confidentiality and Data Security

We prioritize the security and confidentiality of your information. Client data and discussions are treated with the utmost confidentiality, and our data handling practices adhere to privacy regulations.

4. Amendments to Appointments

Epic Tax reserves the right to reschedule or cancel appointments due to unforeseen circumstances. In such cases, clients will be notified promptly, and efforts will be made to accommodate alternative appointments.

5. Contact Information

It is the client's responsibility to ensure that the contact information provided is accurate and up to date. We will use this information to communicate important updates and reminders.

Collection of payment

1. Invoicing and Payment

At the conclusion of each appointment, regardless of the outcome, an invoice will be issued from which the booking fee will be deducted. The invoiced amount reflects the service provided on the consultation.

2. Unpaid Invoice Administration Fee

In case of unpaid invoices by the due date, an administration fee of $66.00 will be added to the total amount owed. This fee covers administrative costs associated with managing unpaid invoices.

3. Debt Collection

If an invoice remains unpaid for 30 days after the due date, the outstanding debt will be referred to a collection agency. This may result in further actions to recover the outstanding amount.

Complaints and Dispute Resolution

We are committed to providing professional, ethical, and high-quality services in accordance with the requirements of the Accounting Professional & Ethical Standards Board (APESB), including APES 320 Quality Management for Firms and APES 315 Compilation of Financial Information.

If you have any concerns or are dissatisfied with our services, we encourage you to contact us directly in the first instance so we can promptly address the matter.
